The Opportunity:
Our Client is a top-producing Real Estate Team based in Mahwah, NJ. We are looking for a talented Executive Assistant to oversee the day-to-day flow of the business. What gets you the interview? A well formatted resume that shows you have at least two years of recent experience as an executive assistant. Job skills that highlight your organizational skills, attention to detail, and the ability to learn new technology quickly and with minimal guidance. Marketing experience is a must. This includes basic knowledge of photo editing software such as Photoshop, experience creating template driven flyers and/or postcards, letter mail merges, and e-blasts. You also MUST live within 30 minutes of the Mahwah, NJ area (ideally Bergen County), and have your own reliable transportation.

What You'll Do:
Create Structure: You will play an integral part in continuing to build the business. You will improve, create, and implement systems and checklists for sellers, buyers, generating new leads, database management, and back office support. You will oversee the flow of the office and act as the Quarterback to leverage your team to a higher level.
Listing and Transaction Coordination: This includes preparing your Agent for Listing Appointments, providing showing feedback to Sellers, coordinating buyer's agents and open houses, and managing Listings up to the Accepted Offer stage. You will also assist with some transaction management as well.
Marketing Assistance: Develop marketing materials and manage all marketing planning and programs which includes maintaining marketing databases, create flyers & postcards, coordinate mailings and brand management. You will also be in charge of all social media management.
Support: In this role, you will provide executive level of administrative support to the team. This may include but not limited to: overseeing overseas telemarketers, forecasting, some light accounting, stats and budgeting.
Serve: You will provide world class, concierge-level customer service to clients by serving as the first point in handling client inquiries. You will act as a Gatekeeper, as your team will count on you to keep them informed regarding challenges and issues that need to be handled but otherwise keep them free from distraction.
Own It: You will play a significant role in the success of the business and will take on this responsibility with a sense of ownership, commitment, honesty, and integrity.

Who You Are:
Real Estate Industry
Experience:
You have +2 years of experience providing executive level administrative support to a Realtor, or C-Level Executive. A Real Estate license is preferred but not required (you will be expected to obtain one shortly after hire.)
Tech-Forward: You are comfortable with database management, CRM programs, Microsoft Office Suite, mass texting and voice mail broadcasting. You are a pro when it comes to picking up new programs including Top Producer, Boom Town and Happy Grasshopper. You are skilled with social media and able to implement basic website management. You are familiar with digital photography including Photoshop, Illustrator and videography with video editing skills..
SUPER Organized: You pay attention to the smallest detail and are able to juggle multiple projects efficiently all while staying focused and keeping a smile on your face. You excel at following up and following through and love checklists. You have the ability to assess, prioritize and act quickly.
Perfectionist - within reason: You like things done the right way. You operate with a high level of professionalism and present yourself as such. You also understand the importance of meeting deadlines and you are able to balance your perfectionist tendencies with the need to move projects along quickly.
A People Person: You know people. You exude authentic hospitality, are open-hearted, and the well being of others comes first and foremost. You know how to effectively communicate with people both verbally and in written format,, are solution-oriented, and can Keep Calm and Carry On. The Details:
What You Earn: $50,000 salary plus bonuses
Where: Mahwah, NJ (Bergen County)
When: 40+ hrs / week M-F, some flexibility on nights and weekends required.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
